Help

A short guide for getting the most out of Sudeb. For shorter questions, see our FAQ page as well.

What is Sudeb?

Sudeb is a debt and receivables tracker that keeps what you owe and what you are owed in one place. It works with the same account on iOS, Android and the web; a change on one device shows up on the others within seconds.

The app has five sections: Today (overdue, due today and due this week), People, Lists, Search and Profile.

Lists

Group your records into lists by context: home, work, family, a project… Each list has a name and an optional colour. Lists have no currency of their own; every record keeps its own currency.

  • Lock: a locked list cannot be deleted until it is unlocked.
  • Trash: a deleted list stays in the trash for 30 days, where you can restore it or delete it permanently. After 30 days it is deleted permanently on its own.
  • CSV: download every record in a list as a CSV file from the list's detail screen.

Adding debts and receivables

A record is either a debt (you will pay) or a receivable (you will be paid). A record can have:

  • Amount and currency
  • Person — picked from your contacts, or created from the name you type
  • Title and note (optional)
  • Due date (optional) — the day it should be settled
  • Tax rate (optional) — for example 20%

Payments and collections

Record partial payments by adding a payment to a debt or a collection to a receivable. The amount field starts with the remaining balance. The record's original amount never changes; each payment is kept as its own dated entry and the remaining balance is calculated from them.

When the remaining balance reaches zero the record is settled and stays in your history. You can edit or delete a mistyped payment; the remaining balance updates itself.

People

The People tab shows everyone your debts and receivables involve. A person's page lists every record between you and the net difference per currency.

  • Merge: if the same person was created twice, merge the two; their records end up under one person.
  • Archive: archive someone you no longer want to see; their records are not deleted.
  • Statement: with Pro you can get a PDF statement of everything between you and a person and share it.

Due dates and reminders

A due date is the calendar day a record should be settled. Records with due dates are grouped on the Today screen into overdue, today and this week.

  • Reminder stages: choose how many days before the due date (and on the day itself) you are reminded. 3 stages on the free plan, 4 on Pro.
  • Time: reminders arrive at the time you choose, in your own time zone.
  • Lock-screen privacy: amounts and names are hidden in notifications by default; you can turn them on.
  • Permission: reminders need notification permission for the mobile app. If you turned it off, enable it again in your phone's settings.

Sharing and roles

You can share a list with other Sudeb users by e-mail address. Adding a new member to a list is a Sudeb Pro (and Pro+) feature. They are added to the list straight away; there is no invitation to accept. Shares made before sharing became Pro keep working: existing members go on using the list, and only adding a new member needs Pro. Every member has a role:

  • Viewer: sees the list's records, payments and remaining balances, but cannot change them.
  • Editor: can add and edit records and payments. Giving someone the editor role is a Pro feature.
  • Owner: the person who created the list; adds members, changes their roles, removes them and deletes the list.

You can leave a list shared with you at any time. Changes reach every member right away. Lists you have not shared are visible to no one else.

Recurring records

For regular payments such as rent, building fees, instalments or subscriptions, set up a recurring record once: amount, currency, person, list and frequency. The frequency can be daily, weekly, monthly or yearly, with an interval (for example every 2 weeks). You can also set an end date.

  • Sudeb checks every hour for recurring records that are due and creates the actual debt or receivable.
  • Generate now creates the next record without waiting.
  • You can pause a recurring record and resume it later; records already created are not affected.

Currencies and net position

Every record keeps its own currency and is never converted for you. Totals are shown separately per currency, together with an estimated net position converted into the base currency you choose in Profile.

Exchange rates come from Frankfurter, which publishes European Central Bank data, and are updated on working days. Converted amounts are for information only.

Work timer and rate cards

If you charge by the hour or by the job, you can track your work in Sudeb.

  • Timer: start, pause, resume and finish a work session. An automatic break can be deducted after a set time.
  • Rate card: sets the unit price, currency, rounding, minimum units and tax rate. Hour and job units are free; day, half-day, trip, distance and quantity units are Pro features.
  • Billing: turn finished sessions into a receivable. Combining several sessions into one record (batch invoicing) is a Pro feature.

Free plan, Pro and Pro+

The free plan is the app itself: people, debts, lists, recurring records and rate cards have no limit, and payments, 3 reminder stages, offline mode, search and CSV export are included.

Sudeb Pro adds working together and paperwork: adding members to a list, the editor role, a fourth reminder stage, PDF statements, batch invoicing and advanced rate-card units. Lists you shared before keep working; only adding a new member needs Pro.

Sudeb Pro+ includes everything in Pro and lets you add photos and voice notes to records and payments. Each account has 10 GB of storage; a photo is at most 10 MB and a voice note at most 10 minutes. When Pro+ ends your attachments stay readable and no new ones can be added; they are deleted 180 days after the end, with an e-mail 30 days before. Buying Pro+ again in that time keeps them.

Pro and Pro+ are bought through the App Store in the iOS app and Google Play in the Android app; they are not sold on the web. The subscription renews automatically and is cancelled in your store settings. Plans only affect creating new records: when a subscription ends you can still see and edit everything you have entered.

Deleting your account

You can delete your account from Profile in two ways:

  • Deletion request: your account is deleted permanently after 7 days. You receive an e-mail with the deletion date; until then you can sign in and cancel the request.
  • Delete now: enter your password and the confirmation text shown on screen to delete the account immediately. This cannot be undone.

What is deleted, and how, is described on the account deletion page. Your store subscription is not cancelled with the account; cancel it in your App Store or Google Play settings.
